UKU/BUCS University Men's & Women's Outdoor National Championships 2018/19

Unfortunately, the way that the University holidays, Easter weekend and exams all come together this year has made it particularly difficult to find the “ideal” date to hold this event on. As such, we have made the decision to go with the 13th/14th April taking into account the following:

  • The Nottingham venue is only available from the 13th/14th April onwards, meaning that we are unable to use the venue on the earlier “preferred” dates of 6th/7th April and 30th/31st March.
  • Easter falls on 20th/21st April this year. Generally we aim to avoid public holidays as this can make it particularly difficult for all teams to attend.
  • Later dates are known to be particularly bad for the Scottish universities, with at least 5 or 6 universities having exam periods that overlap or start on 27th/28th April this year, which makes attending the event especially difficult or impossible for them if held on that weekend. 
  • Holiday periods vary quite widely this year - even across England - with some university holidays starting in March, and others starting on the 13th/14th April, or even as late as Easter weekend. 
  • The feedback collected from the University President Facebook groups concluded that all teams competing at the same venue (Nottingham) on 13th/14th April was preferable to splitting up the competition across several venues on one of the earlier “preferred” dates (as above).
    We will investigate splitting up the divisions at this competition in future as part of the review process with BUCS, but for 2019 at least, we felt it was best to keep everyone together as expected.


Taking the above points into account, combined with the fact that the Scottish universities have particularly suffered with the event being held on one of the later dates in the last few years, hopefully it is clear why we are going to go ahead with this date in 2019. Whilst we understand that this may not be the easiest date for some, we hope that the large amount of notice will enable teams to put the event in their calendar early so that plans can start to be made now.

 

To clarify, entries for the Men’s competitions are combined with the entry into the BUCS league, so if you do not think you will be able to attend the Nationals competition then we recommend that you speak to your AU as soon as possible. For the Women’s events, entries via your AU will be open after UWOR on Tuesday 5th March and will close on Thursday 21st March 2019. Only teams that have qualified will be eligible to enter. 

 

The Alumni Cup will not be held in 2019, however we may look to reintroduce the event in a different format in the future.

UKU University Mixed Outdoor Nationals 2018/19

UPDATE 14th MARCH

Unfortunately, due to unforeseeable issues with the Leaguevine website, we are unable to use the Swiss Draw format for this year's event. We are in the process of finalising the schedule for the weekend. However, due to the recent weather and with the forecast for the weekend, we are also in the difficult position of not knowing whether or not we will have the full number of fields that we booked or if the event will even go ahead. 

 ALL teams need to continue to assume and plan for the possibility that they are playing in the first gameslot at 9am.  

We will inform you of any updates as soon as we can. Please keep an eye out on the UKU website, @UKUltimateEvent Twitter page, the Regional Facebook Groups, and the UXON Event Website for updates. 

 

Entries will be open from 11th December 2018 and will close on January 10th 2019, via the new UKU website. The early deadline should enable teams to confirm their transport and accommodation plans well in advance to avoid higher costs where possible. 

 

We will, however, also be holding a smaller, limited, event on the same weekend - the Cool Down - at the Llanrumney Playing Fields in Cardiff. More information for that event can be found here. This event is for teams that would otherwise be unable to compete. It will be at the discretion of teams to decide whether they want to compete at the main Nationals event or whether they find the Cool Down event to be more suitable for them. We want to be very clear that Nationals is in St Andrews though, and we do encourage all teams to make the journey - particularly given that the event was unfortunately snowed off last year and that we aim to hold UXON in the South in 2020! Please note that the capacity for teams at the smaller event will be limited and, if oversubscribed, teams will be awarded a spot based on their proximity to the southern venue combined with the distance from St Andrews.

 

Please note that if you are entered as of the entry closing date, you WILL BE LIABLE for the fees, even if you drop out afterwards. We MAY accept entries after that date if there is room, but only if it happens to make the numbers better for scheduling.


But what if this event (UXON) is oversubscribed?

We hope to accommodate everyone at this tournament, but should the tournament be oversubscribed at the closing date, the following rules (using the UKU/BUCS indoor rules as a basis) will apply:

 

UKU/BUCS Entry Rules

BUCS Regionals (Open/Women - see additional rules for Mixed below)

·         First teams will get priority over second teams, and second over third etc.

·         If there is insufficient room for all first teams, places will be awarded in the following order:

o   First teams finishing in the top half of the previous year’s tournament

o   First teams who didn’t enter the previous year’s tournament

o   Remaining first teams in order of their finishing position last year

·         If there are spaces remaining after all first teams have been awarded a space, second teams will be offered places in an order based on finishing position last year, and then third teams and so on

o   Second teams with no finishing position from last year will have a lower priority than those who attended – but still above all third teams (and so on)

If the cut-off happens to fall between 2 or more teams with no finishing position from last year, a lottery will be run between those teams to determine entry.

BUCS Nationals

The closing date and payment date will be as announced by BUCS. Entry is guaranteed for all qualifying teams provided they meet this deadline.

Should any teams fail to take up their spots, the places will be filled by the next-ranked team from one of the qualifying tournaments, with priority among regions determined according to the following (in order):

1.       The region(s) not yet offered an extra place under this process which had the fewest qualification spots originally

2.       The region from which the team dropped out

3.       The strongest regions, i.e.

a.       for Division 1, the region with the highest-ranked relegated team last year – but note that rule 1 means we ignore teams from regions already awarded a dropout-spot.

b.      for Division 2, the region with the highest average finishing position in Division 2 the previous year

c.       for Women’s, the region with the highest average finishing position last year.

4.       A lottery between regions that cannot be separated by the above

Mixed

Rules will be the same as for BUCS tournaments, with the following additions:

  • Late entries may be accepted, providing that they improve the schedule for others. We will not allow late entries which make the numbers worse.
  • Single-institution teams at a given level (e.g. 1st, 2nd etc) will have priority entry over any teams at the same level who have players from more than one institution.
  • UKU reserve the right to move clubs to a blacklist if any of their teams default from any UKU University tournament at late notice.
    • Blacklisted 1st teams will only get into non-BUCS tournaments if there is space for all 1st teams; 2nd/3rd/4th teams from blacklisted clubs will only get a space if the tournament is undersubscribed – i.e. someone else’s 4th team will get in ahead of your 2nd team.

The UKU Junior (U20) Open Indoor Championships will be held over this weekend in February 2019, at the same venue as in previous years - Aldersley Leisure Village in Wolverhampton.


Games will start at approximately 10am on the Saturday and we will aim for games to be finished at 5pm on the Sunday, followed by a short presentation/award ceremony.

Please note that unlike many other sports, Ultimate tournaments are always played out for position all the way down - so even teams ranked e.g. 17th-24th in their division will still play a Quarter, Semi and Final in their bracket. Even the most inexperienced team will still expect to play the same number of games as the winners - you don't get knocked out early at these events! Come and join in the fun.

 

Eligibility

There is no qualifying round, and no 'minimum standard' that your team must meet - there will certainly be teams of beginners participating. If you are a newly formed school team, you are very, very much invited!

Note that unlike many other sports, Ultimate tournaments are always played out for position all the way down - so even teams ranked e.g. 17th-24th in their division will still play a Quarter, Semi and Final in their bracket. Even the most inexperienced team will still expect to play the same number of games as the winners - you don't get knocked out early at these events! Come and join in the fun.

As per the UKU Junior eligibility rules, to be eligible for this UKU under-20 division you must have been born on or after January 1st 2000.

If you are a player or a small group of players without enough for a full team locally, then it may be possible to arrange for you to join up with another team; everyone involved in Junior Ultimate wants you there. HOWEVER you must explain your situation to the Junior Forum (email to: joewyatt7@gmail.com is sufficient) and have them ratify which is the most appropriate team for you to join with. It is NOT appropriate for teams to be formed from friends all over the country (e.g. GB players) without checking with the Junior coordinator.

Please also note that eligibilty decisions are made by volunteers - we're keen to help out, but do make sure to get your requests in early to make that easier.

The team fee for this event will be £105 per team.


After the entry deadline we will post the list of confirmed teams on both our website and the Schools Newsletter.

We do expect that we will still have a few places remaining after that date so it is certainly worth getting in touch if you have left it late - but those spaces will be awarded on a first come first served basis and it can't be guaranteed that you'll be awarded a spot, so ideally make sure that you enter before the deadline!

If the tournament is oversubscribed at the closing date (unlikely, but you never know) we will prioritise first teams from each institution, and then second teams above third teams etc all the way down. If the cut-off happens to fall between teams at the same level (e.g. 4th teams from two institutions) then priority will go to whoever entered on the earliest date (or be decided by the drawing of lots if we can't separate them by date). Once the initial deadline has passed, places are confirmed, and the entry of a new first team will not 'bump' someone's 7th team anymore - it's literally first come first served at that stage for any remaining places.

Please note that while we do not demand payment in order to secure your spot (we are aware how slow the payment process can be at some institutions) any team who is entered as of the closing date should consider themselves committed to payment even if they subsequently drop out. Obviously if circumstances are very much out of your control then we may make an exception, but in general when we allocate you a spot without pre-payment we must trust that you will pay at some point - otherwise we would just have a situation where everyone entered 12 teams and then withdrew whatever they didn't want. Any entry is normally considered binding if you have not withdrawn it BEFORE the closing date (unless, of course, you don't get a place due to oversubscription - we won't charge you for that!).

 

Accommodation

Hopefully the central location will mean that the majority of teams might be able to travel home rather than needing accommodation on the Saturday night, but for some of you that clearly won't be possible. Places like www.travelodge.co.uk (and there are a number around the motorways or Wolverhampton!) often have good deals, and there are a smattering of Youth Hostels nearby (www.yha.org.uk).

If you are really struggling for accommodation, please get in touch on events@ukultimate.com and we will do what we can to assist with suggestions, but we do not offer accommodation as part of the tournament.

 

Other info

Essential: Do not enter a team unless you have AT LEAST 7 fit players who are able to travel.

Advisable: Have at least one non-playing adult with the team, in case they need to accompany injured players to hospital or similar.

For the Open division, only teams that qualified through the Club Open Indoor Qualifier tournaments are eligible to enter, however, for the Women’s division the minimum number of spots available will be 20. If the Women’s division is oversubscribed at the time of the deadline, the following rules will apply, in order:

  • First teams will NOT get priority over second teams - it is so easy to simply change the name of a 'second team' to avoid such a rule, which would disadvantage those 'proper' clubs who have a real identity.
  • Teams not on the blacklist (for late dropouts at previous events) will get priority over those who are
  • Teams from UKU-Affiliated clubs will be given priority over those who aren't
  • Teams finishing in the top half of the same event in the previous year will be given priority.
  • To fill any remaining spaces at the tournament, the remaining teams who have not already been awarded a place will be selected by random draw.

Places MAY still be available later on a first-come first-served basis if the tournament is under-subscribed, and if the additional team(s) would not adversely affect the schedule, but no team - no matter how strong - would be guaranteed entry; if the tournament is full then the team(s) will be placed on a wait list to be awarded a space should one become available due to a drop out. The UKU Junior (U20) Open indoor Championships will be held on the rescheduled date of Sunday 29th April 2018, at the University of Wolverhampton sports centre on their Walsall Campus.

Please note that this is a ONE DAY event, held on the SUNDAY ONLY.

UKU Masters Nationals/Glastonbury 2018

For 2018, UKU Masters Nationals will be held on the weekend of September 22nd-23rd, as a joint event with the Glastonbury tournament.

 

Please note this a change from previously announced dates, to avoid a clash with Beach Nationals that has moved to Sept 8-9th (more information regarding the Beach event will be published in a separate announcement).

Why run a combined event / why combine with Glastonbury?

Our Masters scene is still in its early stages, with few established teams. That is something we want to change. Last year’s we tried a stand-alone event which generated some interest but not enough to be feasible. This year we’re trying a combined event, which brings the added bonus of offering a full weekend of Ultimate for those that want it.  This approach allows us to start small for our first UK Masters Nationals event; hopefully future editions can grow until we’re ready to exist as a stand-alone event.

 

Glastonbury is already a popular event for many that are of Masters-eligible age, and occurs at around the right point in the calendar.


What if I want to compete at only Masters Nationals and not Glastonbury (or vice-versa)? 

That’s completely fine!  When you register you’ll be able to select to play “Only Master Nationals”, “Only Glastonbury”, or “Both Master Nationals and Glastonbury”.  Once entries are in we’ll work our magic with the schedule, and so should be able to accommodate everyone.


Okay...consider me interested...how will the combined tournament work?

Both events will occur at the same place, and the same time.  Master’s Nationals will run on the Saturday and will complete within one day, whilst the pool-play stages of Glastonbury are occuring. Masters teams that wish to stay on will then filter into the Glastonbury tournament for the Sunday, offering those that want it the full weekend of Ultimate.

 

The format of the Masters Nationals competition, and the divisions we can host, will depend on the number of teams that enter, but will most likely be pools similar in size to the main Glastonbury tournament (allowing results to easily map across), followed by a 1v2 final to determine the Master’s Nationals 2018 Champions.

 

It may be possible to split different Masters divisions into different pools, but this will depend upon numbers of entries.

Reminder of age-eligibility rules for Masters divisions

Women who wish to play Masters must be 30 or older in the calendar year of the event, i.e. you turned this age before December 31st of that year.  Men must be 33 or older in the calendar year of the event.  For Mixed, simply use the rule for the gender you identify with.

Please enter using the GoMembership Portal in the 'Events & Courses' section: https://ukultimate.azolve.com/Account.mvc/LogIn

 

Entries will be open from Monday 6th August 12pm until Sunday 12th August at midnight on the NEW part of the website. Only teams that finished in a qualifying spot at UKU Regionals are able to enter this event.

Please do not forget that ALL teams are required to roster their team members to the Team on new website BEFORE the event starts on Saturday morning, as well as on Ultimate Central - this is an EUCS Eligibility requirement so please do not forget.

 

Once the regional events have been completed, the list of teams that qualified for this competition will be listed below.

 

IRELAND

Women's: Gravity 1, Gravity 2

Men's: Ranelagh, PELT, XVI

Mixed: Rebel

 

WOMEN'S QUALIFIER: Nice Bristols, SYC, Reading 1, Iceni, Purple Cobras, HYDRA

 

NORTH

Men's: Chevron Action Flash, SMOG Open, EMO 1, Manchester Ultimate, Birmingham, LLLeeds 

Mixed: Black Eagles, Glasgow, Black Sheep

 

SOUTH

Mixed: Deep Space, Thundering Herd, Leamington Lemmings, Curve

Men's: Clapham Ultimate, Ka-Pow! A, Reading Open 1, Brighton City, Flump, Devon, Bristol Open 1

 

Play in all three divisions will be limited to just Saturday and Sunday. This means that nothing will be on at the venue on Monday 27th August.

If ANY teams pull out following the specified entry deadline(s) (as above) your team fee WILL NOT be refunded.
