UKU/BUCS University Women's Outdoor Regionals 2015/16 (and SSS Scottish University Open Outdoor Championships)

Submitted by benheywood on Fri, 11/09/2015 - 3:16pm
Event date:
5 Mar 2016 - 00:00 - 6 Mar 2016 - 11:59
Event details:

UKU/BUCS University Women's Outdoor Regionals will be held in 4 locations across the UK on this date.

Scotland: University Sports Centre, St Andrews, KY16 9DY [Info Pack] [PDF schedule]

North: Stoughton Road Playing Fields, Stoughton Rd, Leicester LE2 4FS [Info Pack[PDF schedule]

West: Cardiff University Sports Fields, Mendip Road, Llanrumney, CF3 4JN [Info Pack[PDF schedule]

East: University of Essex, Wivenhoe Park, Colchester CO43SQ [Info Pack[PDF schedule]

(NOTE - Postcode for Essex will not work well in satnavs. Directions here: http://www.essex.ac.uk/about/colchester/travel.aspx)

Entries should now be open through BUCSscore - you CANNOT enter through UKU. You must get the staff at your Athletic Union to enter through the official BUCS site. Entries will close on the 25th February - get on it ASAP!

All Women's teams must enter in order to qualify for BUCS Nationals. We expect to run both a Division 1 and a Division 2 at Nationals, so the large majority of teams should be able to attend, but you must attend regionals in order to be eligible for Nationals. Regionals is a required part of the BUCS season, and teams must qualify through it for the National event in April.

We have allowed capacity for approximately double the number of teams who entered last year, but of course as it has now become a BUCS event there is a chance that more teams will enter than we had expected. If the tournament is oversubscribed the entry procedures will be as described below.

In Scotland, we will also be running the SSS University Open Outdoor Championships alongside the BUCS Women's event. This will not have any impact on BUCS qualification for the boys, but will of course have some nice shiny SSS medals up for grabs as per usual. Teams wishing to enter this event should enter through the UKU Entry Form. It's impossible to say how many teams we can accommodate until we see the Women's entry numbers - we'll confirm after that closing date, and it will be first come first served among all the first teams, then all the second teams, and so on. Please note: If you are signed up for the SSS Open event as of that closing date (25th Feb) you will be expected to come if offered a place, and will be charged if you pull out. Don't sign up unless you are sure you can come.

In the North region, we also expect to have some free pitches where some Men's teams may be able to run a small warm-up tournament - but we cannot say how many teams we can accommodate until we see the Women's entries. Please email benji.heywood[at]ukultimate.com if you would be interested in attending such an event and we'll try to see ASAP if anything can be organised. Again, those who get in contact first will get priority, and first teams will get priority over seconds.

In the West and East we anticipate that the Women's events will use most of the available ptich time and we do not intend to try and run any Men's event alongside.

UKU/BUCS Entry Rules

BUCS Regionals

The closing date and payment date will be as announced by BUCS. If places remain open after that date, they MAY be filled on a first-pay first-play basis. UKU/BUCS reserve the right to refuse a late entry if it will compromise the tournament for others – for example by adversely affecting the schedule – and to place the team on a waiting list instead.

For tournaments that are over-subscribed at the closing date the following rules will apply, in order:

·         First teams will get priority over second teams, and second over third etc.

·         If there is insufficient room for all first teams, places will be awarded in the following order:

o   First teams finishing in the top half of the previous year’s tournament

o   First teams who didn’t enter the previous year’s tournament

o   Remaining first teams in order of their finishing position last year

·         If there are spaces remaining after all first teams have been awarded a space, second teams will be offered places in an order based on finishing position last year, and then third teams and so on

o   Second teams with no finishing position from last year will have a lower priority than those who attended – but still above all third teams (and so on)

If the cut-off happens to fall between 2 or more teams with no finishing position from last year, a lottery will be run between those teams to determine entry.

Which region are we in?

Please note that your region is not necessarily related to where your Men's team plays in the outdoor leagues. We have 7 indoor regions (combined into 4 larger regions for Women's Indoors and Outdoors), which do not tally with the 5 outdoor Men's regions. Check carefully!

This list should now contain all the Unis - if your team is missing please do let us know and we'll update it!

Entries are now open through the UKU Entry Form. The closing date for entries will be Friday 6th November. If you miss this date, your spot will be offered to other teams, possibly in other regions. History tells us that in Mixed Indoors we may get some teams who do not take up their spot, and we'd like to give any replacement teams sufficient time to get organised; hence the early closing date.

Accommodation: We expect to be able to provide some LIMITED accommodation locally. This may be in a scout hut or church hall (and hence not free!) or it may be on local players' floors. This is really only for those who cannot get accommodation any other way.

UKU/BUCS University Men's & Women's Indoor Nationals 2015-16

Submitted by benheywood on Fri, 11/09/2015 - 11:15am
Event date:
6 Feb 2016 (All day) - 7 Feb 2016 (All day)
Event details:

UKU/BUCS University Indoor Nationals for both Women and Men (Div 1 & 2) will all be held alongside each other in the fabulous and enormous Ravenscraig Regional Sports Facility in Motherwell, near Glasgow.

The Info Pack can now be found here: https://goo.gl/s6DHK6

Please do read it carefully. and get in touch through the contact info provided therein if you have any further questions.

The Schedule - which we will endeavour to update as frequently as possible through the weekend, for those who cannot attend in person - can be found here: https://goo.gl/lrb8ZI

Both are available as PDFs below for printing.

It's a full size indoor 3G football pitch, 105x68m, giving us space for 6 full size pitches of approx 40x20m. There's also a balcony and cafe, and even some bleacher seating next to the pitch - it will be an amazing event to have it all happening at the same venue.

We aim to be finished by approx 3pm Sunday to get you on the road again, which means that Saturday will be quite a long day overall (9am-9pm), but we'll aim to schedule it so that no particular team is there the whole day.

There WILL be some floor-space available with the local University players or in scout huts etc, but this will of course be limited to those whose university will not support accommodation at a BUCS tournament - hopefully a good number of you will get that support for this event! Details have been posted on your regional Uni Ultimate Facebook group - you should make sure that representatives of your club are in that group as a great deal of information is posted there!

Entries are now open through BUCSscore - you MUST get your University AU staff to enter you, it is not possible for you to enter or for UKU to do it for you. Entries will close on the 7th JANUARY - that probably means you will need to enter a team before Christmas for many Universities.

(note that this link is to the BUCS info page only - to reiterate, you CANNOT enter except through your AU. Go see them right now!)

The closing date is early so that we're able to work out if there are any teams unable to attend, and we can then let the next few teams know they have a spot (before organising travel to Glasgow becomes impossible). Of course, if you have real trouble getting your AU organised, we will still accept later entries, but we will need you to email us and tell us very clearly that you WILL attend and WILL pay - what we can't have is people changing their mind late on, as that's not fair on any replacement teams.

UKU/BUCS Indoors Entry Rules

BUCS Regionals (Open/Women - see additional rules for Mixed below)

The closing date and payment date will be as announced by BUCS. If places remain open after that date, they MAY be filled on a first-pay first-play basis. UKU/BUCS reserve the right to refuse a late entry if it will compromise the tournament for others – for example by adversely affecting the schedule – and to place the team on a waiting list instead.

If the cut-off happens to fall between 2 or more teams with no finishing position from last year, a lottery will be run between those teams to determine entry.

BUCS Nationals

The closing date and payment date will be as announced by BUCS. Entry is guaranteed for all qualifying teams provided they meet this deadline.

Should any teams fail to take up their spots, the places will be filled by the next-ranked team from one of the qualifying tournaments, with priority among regions determined according to the following (in order):

1.       The region(s) not yet offered an extra place under this process which had the fewest qualification spots originally

2.       The region from which the team dropped out

3.       The strongest regions, i.e.

a.       for Division 1, the region with the highest-ranked relegated team last year – but note that rule 1 means we ignore teams from regions already awarded a dropout-spot.

b.      for Division 2, the region with the highest average finishing position in Division 2 the previous year

c.       for Women’s, the region with the highest average finishing position last year.

4.       A lottery between regions that cannot be separated by the above

Mixed

Rules will be the same as for BUCS tournaments, with the following additions:

·         Single-institution teams at a given level (e.g. 1st, 2nd etc) will have priority entry at regionals over any teams at the same level who have players from more than one institution.

·         UKU reserve the right to move clubs to a blacklist if any of their teams default from any University tournament at late notice.

o   Blacklisted 1st teams will only get into non-BUCS tournaments if there is space for all 1st teams; 2nd/3rd/4th teams from blacklisted clubs will only get a space if the tournament is undersubscribed – i.e. someone else’s 4th team will get in ahead of your 2nd team.

Event date:
25 Apr 2015 - 09:00 - 26 Apr 2015 - 18:00
Event details:

UKU/BUCS University Open & Women's Outdoor Nationals will be held on this date at Nottingham's Grove Farm venue.

The venue doesn’t have its own postcode, but NG7 2SA will get you onto the right entry road.

UPDATE: The Info Pack and the schedule are now available.

Info Pack can be downloaded in pdf form below.

Schedule is here: http://goo.gl/cBgYQo and in pdf form below (for easier printing).

The schedule is now confirmed (barring anything truly surprising happening!)

We will host all four divisions; the University Open Divisions 1 & 2, the University Women's Division and the Alumni Cup!

Have you ever argued that your university team of 2010 was better than the 2005 team? Have you always wanted a re-match of a previous Student Nationals final? Well now is your chance! Gather together your mates and enter a team into the Alumni Cup.

Alumni cup will be an open division - obviously that means genuinely Open and not Men's; mixed teams are possible. To be eligible for an alumni team the player must have attended the institution for at least one year, on a more-than-half-time basis. The player does not need to have graduated from that institution. Universities may enter more than one team. All players must have basic UKU membership as a minimum - we will check some rosters at random on the day.

Entry will be through the BUCS website for the Open division, and is now open. You need to get your Athletic Union to do this for you - there is no public access to BUCSscore. The BUCS info page is here.

Entry for the Women's division and the Alumni Cup is now open through the UKU entry form - see below.

Event website:

benji.heywood@ukultimate.com

Price:
£140/£185
How to register:

Open divisions 1 & 2: Qualification for both open divisions was via the regional qualifiers. BUCS will set the closing date for payment in these divisions, and all entries will be through them. You will need to speak to your Athletic Union in order to enter and pay through the BUCS system - you can't do it yourself. It will cost £140 per team.

Womens: There is no qualification for this division, though your seeding will be based on Women's regionals where appropriate (i.e. we'll need to put some thought into how to handle the cancelled WUWOR). Please click here now to register. The initial deadline for entries is Friday 10th April.

You do not need to pay in advance of that date - we do understand that some Athletic Unions will pay, and you can't control how fast that is. However, if you are on the list as of the closing date, you WILL BE EXPECTED TO PAY even if you then drop out. Please be very aware that you should not mess other teams around by claiming a spot and then dropping out - you WILL be invoiced.

Maximum teams: We intend to find room for at least 40 teams - which would be a large increase on both last year and on the Regionals attendance. If we go above 40, we may need to turn some teams away, but we do not anticipate this being a problem. Note, however, that we may turn away a small number of teams to improve the schedule for others - e.g. 32 would be much much better than 33, or 36 is better than 37. Priority will be given as follows:

1st teams who entered regionals

1st teams who entered last year (as single-institution teams) in order
of finishing position

Remaining 1st teams, ranked by indoor results (teams with no indoor
result will be below those who have a result, and if more than one they
will be separated by lottery).

Remaining teams who entered regionals, ranked by adjusted* finishing position (or if equal a random lottery)

Remaining teams who entered last year, ranked by finishing position.

All other teams, ranked by indoor results (teams with no indoor result
will be below those who have a result, and if more than one they will be
separated by lottery).

All of the above applies to single-institution teams. Combined teams, or teams with pick ups, will only get in AFTER all of the above.
(*Women's Regionals results will be ranked as 'finishing position divided by number of teams', with lower being better - i.e. 6th in an 8 team event would be better than last in a 5 team event.)

Cost = £140 per team

Alumni Cup: There is no qualification for this division. Please click here now to register. Entries will be accepted on a first-pay, first served basis and are not confirmed until payment has been received. The initial deadline for entries is Friday 10th April.

If you drop out before 10th April you will of course be refunded, but after that date you should not expect to get your money back. Late dropouts are a pain for everyone - please ensure you do have a full team before entering.

Maximum teams = 16 teams (possibly even fewer if the women's division is particularly large). There is probably no scope to expand this - if you want a spot, enter quick!

Cost = £185 per team

Accomodation and transport:

As in previous years, we do NOT intend to provide any accommodation for the Open Division. Your University should be supporting this as a BUCS event; and we cannot expect to find accommodation for that number of teams.

We also, as usual, do not intend to help the Alumni division.

We WILL support those Women's teams who REALLY need help - but of course we are unlikely to be able to house 30-odd women's teams. Please do only put down that you need accommodation if you really, really need it. Nottingham Uni will be organising this for us, and of course there is a limit to how much they can deal with.

UKU/BUCS University Open & Women's Outdoor Regionals

Event date:
28 Feb 2015 - 09:00 - 1 Mar 2015 - 18:00
Event details:

UKU/BUCS University Open & Women's Outdoor Regionals will be held on these dates at various locations around the UK.

Open:

Scotland: St Andrews (ONE WEEK LATER - 7/8 March)

NE&NW: UCLan, Preston

Yorks & East Mids: Graham School, Scarborough

East & London: Coldham's Common, Cambridge

West & Wales: Cardiff Uni, Llanrumney

SE: Wide Lane, Southampton

SW: Bishop's Cleeve FC, nr Cheltenham

Women's:

Scotland: St Andrews (ONE WEEK LATER)

North: Graham School, Scarborough

East: Coldham's Common, Cambridge

West: Cardiff Uni, Llanrumney

Entry for the Open division will be through BUCS website, and entries close on the Thursday 19th February. YOU MUST GET YOUR ATHLETIC UNION TO ENTER YOU - entry is not through UKU but through BUCSscore, which only university staff can access. More details here:

http://www.bucs.org.uk/page.asp?section=18182&sectionTitle=Male%20Outdoor%20Regional%20Championships

NOTE: THE FORM ON BUCSscore HAS AN OPTION TO ENTER WOMEN'S BUT THIS SHOULDN'T BE USED!!! For some reason, they can't get rid of this option, and it certainly has the potential to confuse your Athletic Union person so please do be very clear with them that they're only entering the Open team through BUCSscore and the women's through UKU.

For Women's, please use the UKU Entry Form. And please make clear to your AU that they should NOT try to enter women's through BUCS!!! That will lead to much confusion...

NOTE: Chris's poll on the regional FB pages indicates that there will be too many teams for any region to complete the women's tournament in one day; hence it is expected to be a two-day event and is thus of course the same price as the guys. And we've now booked and paid for the pitches on that basis, so even if we do now get fewer teams than said they would come, the price will very likely remain the same.

The Closing Date for women's regionals will be Thursday 19th Feb 2015. If you are entered at that time, you'll be expected to pay (even if you drop out afterwards), and if you enter after that date you may only get a space if it happens to help the schedule. Up to that date, we intend to accept ALL women's teams who enter.

You do not need to pay upfront to secure your spot if that is difficult for you - there are often delays going through university processes, and we understand this. But as mentioned, you WILL be liable if you initially sign up and then drop out after the closing date.

The Open division will act as a qualifier for BUCS Nationals; the women's division will act as a seeding tournament for Nationals - you do not need to finish in a certain position to attend Nationals, but the Nationals schedule is unlikely to be a fully open 40-team tournament and your seeding is likely to make a significant difference to your chances of winning.
